This is the default text. Every department is welcomed to extend it to their needs.
==General Instructions==
Please be aware that publications deposited in PuRe become freely available to the public.<br>
You therefore should be sure that the publications are relevant for global distribution - especially those documents with direct affiliation to the MPDL.
In case you're uncertain about a publication's relevance, please discuss this issue with your colleagues before depositing in PuRe.

== Basic principles ==
=== Material to be deposited ===

* All material that is communicated outside the MPDL (at least one participant of the audience is a non MPDL member)
== Workflow ==
* internal material of general interest is deposited on the MPDL share drive (\\filesvr01\share\mpdl)
*Authors of the MPDL can send their publications to Katrin or Caroline for submission.
* All sensitive data (staffing, business internals etc.) has to be removed before the document is submitted.
*Alternatively, the publications can be deposited by the authors themselves using their own account.
*Please avoid duplicates by checking the existing data before submission.
*There will be no QA check by moderators before the release of an item. Please notice that released items are visible to the public and will be indexed by Google etc.
*Authors should communicate their submissions (depositing activity) within their team/department.

In case a MPDL member is requested to share presentation material it is strongly recommended to provide only links to each document on edoc instead of sending the corresponding files. In addition, conference organizers are asked to rather use the eDoc link than store the document locally.

=== Publication with multiple authorship ===
'''Submission'''
* Katrin Gashi (Innovations / Collections)
* Caroline Gutser (Information)

* To be only deposited in the collection of the corresponding author (who is named first).

=== Copyright ===
Every member of the MPDL is allowed to have his own account for submission and/or file access.

Use of the "German Creative Commons Licences by" [http://creativecommons.org/licenses/by/3.0/de (CC by)] http://i.creativecommons.org/l/by/3.0/88x31.png is strongly recommended by Laurent, see [[MPDL License]] for further reading.

Notes:
== Material to be deposited ==
* After applying one specific license to a document, this shouldn't be changed any longer.
* Corresponding templates are in preparation and will afterwards been made available via mailing-lists, common share and svn repository.

=== Keywords/Classification ===
* All material that is meant for distribution and has been communicated outside the MPDL must be deposited on the institutional repository. This includes articles or talks and posters presented to a broader audience (several non MPDL members) - <i>Context: "Publications..."</i>
* Optional: Internal material of general interest can be deposited by choice of the creator - <i>Context: "Publications..."</i>
* Optional: External publications by MPDL staff - <i>Context: "External Publications..."</i>
* Optional: External publications by non-MPDL authors in case of general interest for the MPDL (e.g. Berlin Conference papers) - <i>Conext: "External Publications..."</i>

Under discussion if there should be keywords/classification for the MPDL or not.
The information provision department is working on a keyword list for their department.

*each stab member is requested to enter his/her publication data in eDoc himself/herself.
*each stab member is responsible for the formal quality assurance of his/her publication data. Therefore each stab member has moderator rights and should tick the box "accepted".

In case there is a duplicate and duplicate is stored in the collection of Information Provision or Research and Development but belongs to the collection of the stab, one has to get in touch with the Moderators of R&D or ScIP for deletion.

==CoNE==
Every staff member of the MPDL needs to have a CoNE entry including at least one affiliation. Missing CoNE entries can be created on purpose when needed for a concrete publication.<br>
Additional information can be added to the CoNE entries by choice of each author.

*The Moderator enters data for all members and accepts the entry.
*The Moderator is responsible to recommend entries for the Yearbook.
*If someone within the team is interested in entering his/her own data s/he can get an account as MetaData-Editor to enter and change the data. Afterwards the moderator will check the entries and accept them if they are fine.
*The Moderator has to make sure that no duplicates of publication data exist in eDoc (to check all collections of MPDL). In case there is a duplicate and duplicate is stored in the collection of Information Provision or Stab but belongs to the collection of R&D, one has to get in touch with ScIP-moderator or the corresponding Stab member for deletion.
*Moderator view should be checked on a regular basis. If new entries are generated and ready for authorization, a reminder should be sent per mail to Authority, to let him know that it is ready for his last check.
